Medical Assistant or LPN, Office Manager

This is an established office manager role and is central to clinic operations and patient experience. This position blends leadership, clinical skill, and operational responsibility in a small, high performing team. The right candidate helps set the tone for the clinic and ensures daily operations run smoothly.

This role serves as office manager while providing front and back office clinical support. The position maintains an organized, compliant, efficient, and welcoming clinic environment while providing day to day leadership and ensuring consistent, high-quality operations.

Key Responsibilities:

Required qualifications

  • Active Washington CMA or LPN credential

  • BLS certification required

  • 1 to 2 years of clinical experience

  • Strong phlebotomy skills

  • Comfortable with IM and SQ injections

  • IV start experience

  • Strong organization and time management

  • Clear, professional communication

  • Ability to work independently

  • Reliable and detail oriented

Administrative and office management

  • Open and close the clinic as scheduled

  • Ensure the clinic is stocked, organized, and fully operational each day

  • Maintain front desk, clinical areas, and shared workspaces

  • Monitor, order, and track office and medical supplies

  • Ensure HIPAA compliance across all workflows

  • Identify and resolve daily operational issues

  • Support clinic technology, phones, printers, computers, EHR, and scheduling systems​​

Patient communication and front desk

  • Answer incoming calls and manage voicemails

  • Respond to patient texts and emails promptly

  • Schedule, reschedule, and confirm appointments

  • Explain services, pricing, packages, and clinic policies

  • Address patient questions and concerns professionally

  • Manage intake forms and ensure completion prior to visits

Billing and payments

  • Collect payments at time of service

  • Process card, cash, and approved payment methods

  • Clearly explain costs, packages, and treatment plans

  • Track outstanding balances when applicable

  • Maintain accurate payment records

  • Communicate billing questions with the provider

Clinical support

  • Room patients and obtain vitals as needed

  • Maintain accurate charting and documentation

  • Assist the provider during visits and procedures

  • Prepare exam rooms before and after appointments

  • Maintain cleanliness and infection control standards

  • Perform phlebotomy

  • Administer IM and subcutaneous injections per provider order

  • Start and manage peripheral IVs within scope

  • Assist with labs, injections, and delegated procedures

  • Label, handle, and process lab specimens

Labs and results

  • Coordinate in office lab draws

  • Prepare lab orders and paperwork

  • Track pending lab results

  • Notify provider when results return

  • File and document results accurately

  • Coordinate lab pickups

Follow up and care coordination

  • Schedule follow up appointments

  • Track patients due for follow up, labs, or refills

  • Send reminders for required visits or testing

  • Coordinate referrals when needed

Documentation

  • Maintain organized electronic and paper charts

  • File consent forms and treatment agreements

  • Update logs, trackers, and operational binders

  • Ensure documentation is complete and current
